Searching for, creating, selecting, and editing employees (classic)

This article is for the classic version. Read how to find, create, and edit employees in the updated version.
Before you can follow the steps in this article, you must be logged in with your personal login credentials within eformity. If you are not yet logged in, you can view the following article: 'Before you get started'. Once you have successfully logged in, you can perform the following tasks with the steps in this article:

Step 1: Open the Template Manager in Microsoft Word
To open the Template Manager, you must first open Microsoft Word. Once you have opened Word, you can click on the eformity logo in the ribbon. In the image below, the eformity logo is circled.

Step 2: Open the employee window
Next, in the new window (the Template Manager), you can open the employee section. You can open the employee section by clicking on the text 'Employee' or 'Author' (this depends on the settings within the organization).

Step 3: Search for, add, select, or edit an employee
Another window has opened in the previous step. In this new window, you can find, add, or edit employees. Below you will find how to do this for each component.
Searching for an employee
To find an employee, you can use the search option, indicated with number 1 in the image below. You can perform a search by pressing the 'Enter' key.

Adding an employee
In this window, you can also add an employee. To add an employee, click on the text 'New…'. In the image below, this part is circled in orange.
Don't see your colleagues here?
That's correct! The employees you add are specifically linked to your account. Your colleague's account will not appear here.

Once you click on the above text, a new window will open. In this new window, you can add the details of the new employee (1 in the image). You can add additional information using the tabs (2 in the image). Finally, you can also add translations to the employee (3 in the image).

Selecting a default employee
When you have successfully created an employee, you need to select them as the default employee. You can do this by clicking on a row (number 1 in the image) in the table. The selected row will have a light blue background.

Once you have selected an employee, you can click on the button 'Ok' (number 2 in the image). The window will automatically close. The default (selected) employee can be found under the heading 'Employee'. This is circled in the image below.

Editing an employee
If employees have already been created, you can also edit them. To edit an employee, you must first click on the text 'Change…' (after you have selected an employee). In the image below, this text is circled.

A new window will open. In this new window, you can edit all the details of the employee. You can use the tabs (number 1 in the image) to edit the additional information. Furthermore, you can also edit the translations in this window (number 2 in the image).

Am I changing my colleague's account with this?
No. This employee section is specifically linked to your account. Colleagues can create and edit their own employees within their own account.

You have just set up the basics of eformity! You can now use all the functionalities as a user.
