Creating different documents

With eformity, you can easily create documents and templates. This article covers everything you need to know about creating different types of documents. You can create two types of documents:

  • Documents
  • Smart Documents

Step 1: Open the eformity sidebar

To create a document or template, you first need to open the sidebar. For document creation, open the sidebar in Microsoft Word. When Word starts, the sidebar should open automatically. If it doesn't, you can click on 'Show/Hide Sidebar'.

Step 2: Enable edit mode

To create documents, 'Edit mode' must be enabled. You can toggle edit mode via the 'Account Menu'. Open the account menu by clicking on the profile picture in the sidebar.

Once the 'Account Menu' is open, you can enable edit mode. Slide the toggle under the 'Edit mode' section to activate it. In the image below, this section is circled.

Step 3: Create a Document

With edit mode enabled, you can create a document. As mentioned earlier, there are two types of documents: Smart Documents and Documents. To create a document, click on the plus icon in the sidebar.

After clicking the plus icon, a new element will appear in the sidebar. In this new element, you can choose the type of document. The following paragraphs will explain each type separately, starting with Documents and then Smart Documents.

I see a Content Document as well?

Content Documents are essentially the same as Smart Documents but are outdated. Therefore, this article focuses only on Smart Documents.

Document

What is a Document?

When creating a Document in eformity, it is usually considered a master document. In the Document, you define the header, footer, styles, and sometimes default content. This master document can later be used by a Smart Document (where the content is specified).

In specific cases, a Document is not a master document. This might be the case if you want specific styles, headers, and/or footers for a particular document.

Creating a Document

To create a Document, click on 'Document' in the new element. Another new element will appear in the sidebar. In this new element, fill in the details of this Document. These details are: name, display name, and description.

  1. Name (required): Provide a name for the Document
  2. Display name (optional): Provide a display name for the Document
  3. Description (optional): Add a description for the Document

Tip!

If you want the document to have a different name for users than for administrators, adjust the display name. The display name changes the document name only when the edit menu is off!

Smart Document

What is a Smart Document?

A Smart Document is a document with standardized content, such as a standard confirmation letter or request. These Smart Documents are built not only from fixed content but also from various variables, making them highly versatile. When the document is created, the user only needs to fill in or select the variables in the dialog.

Every Smart Document must be based on a master document. This is the underlying template on which the Smart Document is built. Since there is no limit to the number of Smart Documents that can use the same master document, only one document needs to be created with the correct branding. Any changes made to the master document are automatically applied to all Smart Documents built from it.

Creating a Smart Document

To create a Smart Document, click on 'Smart Document' after clicking the plus icon. A new element will open with various options: name, display name, description, and master document.

  2. Display name (optional): Provide a display name for the Smart Document
  3. Description (optional): Add a description for the Smart Document
  4. Master document (optional): Set a master document
