Managing Access for Documents & Folders
Once you have created different roles within eformity, you can manage access to documents and folders based on these roles. This article provides a step-by-step guide on how to manage access for specific folders and/or templates.
Step 1: Log in to the web environment
You can manage access to documents and/or folders from either the sidebar or the web environment. We recommend doing this through the eformity web environment, which can be accessed via yourcompanyname.eformity.net.
Step 2: Enable edit mode
Once logged in to the web environment, you can enable edit mode. To do this, click on the account icon in the navigation bar. This icon is circled in orange in the image below.

When you click the account icon, a new panel will open on the right side of the page. In this panel, you can enable edit mode by toggling the switch. This switch is also circled in orange in the image below.

Step 3: Open the "Manage access" option
The next step is to manage access for the desired folder or template. To do this, first open the options menu by clicking the three dots next to the desired folder or template.

A menu with various options will appear. Click on "Manage access" to control access for the selected folder or template. A new panel will open on the right side of the page.

Step 4: Manage access for a role or user
In the previous step, a new panel was opened. In this panel, you can click on "Add" to manage access for a role or specific user.

A new element will appear. Now, click on "Identity" to select a role or specific user. This is illustrated in the image below.

Note!
Both users and roles can be found in the table that appears after you click on "Identity."
After selecting a user or role, you can set the access level for the selected user or role. Click on the "Access level" dropdown menu to choose from the different access levels. A table with the permissions associated with each level is shown below the image.

Level | Permissions |
---|---|
None | The user or role has no rights for this template or folder. It is not visible, editable, or executable. |
Execute | This level is not relevant for documents or folders. |
Visible | The user or role can view and use the template. |
Data reader | This level is not relevant for documents or folders. |
Data editor | This level is not relevant for documents or folders. |
Editor | The user or role has the aforementioned rights and can edit templates in eformity. Access to "Edit Mode" is required. |
Publisher | The user or role has the aforementioned rights and can move templates from acceptance to production environment. |
Admin | The user or role has full access to the template, including setting permissions. |
Finally, click the blue "Add" button to add the identity and access level for this identity. You have now managed access for the selected folder or document.
